That is where the engagement party comes in.
It is the first real event in the wedding journey. It is not the wedding day yet, so it does not need to feel too formal or heavily scheduled. But it still matters. Families meet, friends hear the proposal story, and everyone gets a small preview of the celebrations still to come.

For most engagement parties, a two-to-three-hour booking is usually ideal. It covers guest arrival, mingling and the main part of the celebration before the event moves into speeches, cake or later party music.
For the first hour, keep the music light and welcoming. Classical favourites, jazz standards, Bossa Nova and gentle love songs work well as guests arrive and get their first drinks.
For the second hour, move into more recognisable songs. Pop covers, movie themes and romantic favourites help lift the mood while people mingle.
For the third hour, bring in more energy. Upbeat pop, classic rock and fun crowd-pleasers can help build the celebration before the next part of the night begins.
The music does not need to jump suddenly from calm to loud. A good string quartet can read the room and let the energy build naturally.
Space, Setup and Outdoor Events
A standard four-piece string quartet needs at least 1.6 x 2.5 metres of space. This allows room for the musicians, chairs, music stands and instruments, and enough space to move their bows without bumping into guests, walls, decorations or waitstaff.
They will also need four sturdy, flat, armless chairs. Dining chairs with arms may look nice, but they are not suitable for string players because the arms get in the way. Bar stools do not work either.
Try to place the quartet somewhere visible, but not in the main walkway. Near the entrance can be lovely for guest arrival because it creates an immediate impression. Near a bar, grazing table or central gathering area can also work well, as long as people can still move around comfortably.
A string quartet can also play outdoors, and it can sound beautiful in the right setting. Garden parties, winery lawns, terraces and courtyards can all work well. But the musicians and instruments need proper protection.
String instruments are made from delicate wood, varnish and glue. Direct Australian sun, wind, rain or even light drizzle can cause serious damage. For outdoor performances, the quartet will need full overhead shelter such as a proper marquee, veranda, covered deck or large sturdy umbrella.
Shade from a tree is not enough because it does not protect from rain, falling leaves, sap or sudden weather changes. Flat, stable ground also helps, especially for chairs, stands and instruments.
A Few Practical Questions
For a standard engagement party, two to three hours of music is usually enough.
For bookings exceeding 1.5 hours, a 10-minute break per hour is required. For bookings exceeding 3 hours, the client must provide a 20-minute meal break and one standard meal per musician.
You can also request a special song. Most professional string quartets can arrange or learn a specific piece if they have enough notice. If there is a song that means something to you as a couple, it is worth asking early so the music can be sourced or arranged properly.
