How to Get an Accurate String Quartet Quote:

What information to include in your Enquiry

Quick answer: To get an accurate string quartet quote in Australia, your enquiry should include six things. These are event date, venue name and city, event type, expected guest count, performance duration, and whether the space is indoor or outdoor. With those six details, most reputable providers can quote you within 24 hours. Everything else is a nice-to-have.

We’ve been quoting live string music since 2011, and we’ve seen the same pattern in almost every enquiry. The couples and event managers who provide clear information get accurate quotes back fast. The ones who send a one-line “how much?” tend to end up in a three-day email loop trying to nail down basics. This guide is what we wish every client knew before hitting send.

Why quote accuracy matters more than you’d think

A string quartet booking isn’t a fixed retail price. Your final cost depends on ensemble size (quartet, trio, duo or solo), travel from our nearest capital city, performance duration, whether amplification is needed, and any custom song arrangements. Miss one of those variables and the quote can shift by hundreds of dollars between enquiry and confirmation. Usually not because the provider is being unclear, but because they’re guessing at what you haven’t told them.

The six things every enquiry should include

  1. Date (and backup date if flexible). Peak wedding months in Australia, October to April, book out first, sometimes 12 months in advance. If your date is set, say so. If you’re flexible within a week or two, that’s often enough to secure a better rate.
  2. Venue name and suburb. Not just “Melbourne,” but the specific venue and its address. Travel fees are calculated from the capital city, and we travel up to 3.5 hours by car from each of Melbourne, Sydney, Brisbane, Adelaide, Perth, Canberra and Hobart. A venue in the Yarra Valley, Hunter Valley or Margaret River quotes differently to one in the CBD.
  3. Event type. Wedding ceremony, wedding reception, funeral, corporate function, product launch, private celebration. Each has different timing patterns and repertoire needs. A ceremony brief is very different to a three-hour reception brief.
  4. Guest count. This is the single biggest variable most people forget. Under 80 guests generally works acoustically. Over 80, or a large outdoor space, means amplification, and that changes both the quote and the setup requirements.
  5. Performance duration. How long do you want live music playing? For ceremonies we typically recommend 60 to 90 minutes (arrival music, processional, signing of the register, recessional). For receptions and corporate events, 90 minutes to three hours is standard.
  6. Indoor or outdoor. Outdoor performances require full overhead cover for our instruments, such as a marquee, veranda or large shade umbrella. Direct sun, rain or wind isn’t safe for the instruments. If you’re outdoors, let us know what cover the venue provides.

Details that will sharpen the quote further

  • Ensemble preference: quartet, trio, duo or solo. If you don’t know which suits your event, ask us and we’ll recommend based on guest count and space.
  • Song requests: up to three special requests are included at no additional cost, and we’ll arrange your favourite song for string quartet if it’s not already in our library of over 3,000 songs. Additional custom arrangements are $200 + GST per song.
  • Ceremony order of service: if you have one, share it. It helps us time the processional, signing and recessional to the minute.
  • AV or PA on site: if the venue is providing sound equipment, we’ll coordinate directly with their engineer.
  • Access constraints: parking, load-in restrictions, stairs, or heritage venue rules. These matter for setup, which is normally 15 to 20 minutes before performance.

What you don’t need to know yet

You don’t need a finalised guest list, final song choices, or the exact ceremony script. You don’t need to have booked your celebrant. You don’t need to know your first dance song. Quotes are based on the six essentials above. Everything else can be finalised in the weeks leading up to the event.

What happens after you send the enquiry

We aim to respond to enquiries within 24 hours, seven days a week. You’ll deal directly with Jennen, our founder and principal violinist, from first enquiry through to the performance day. That’s deliberate. It means nothing gets lost in a chain of coordinators or contractors.

If you’d like a sense of our pricing structure before you enquire, our prices page lays out standard rates. To hear what our ensembles sound like, browse 390 sample recordings across every genre we perform. And if you already know the event type, our function pages for wedding ceremonies, corporate functions, receptions and celebrations, funerals and wakes and recording sessions each explain how we structure our performances.

Once we’ve quoted, a $500 deposit secures your date. The balance is due 30 days before the event. If your event is cancelled or postponed with at least 30 days’ notice, we’ll credit the full amount for two years.
